When are payroll taxes deposited?

Employers deposit the taxes they withhold on a monthly or semiweekly schedule. Choose yours, then tap a payday to see when the deposit is due.

Paid Wednesday, Thursday or Friday: deposit by the following Wednesday.

Which schedule applies depends on the employment taxes you reported in a lookback period. Deposit dates move when a banking holiday gets in the way, and larger amounts can trigger next-day deposits. We confirm your schedule when we set up payroll. Source: IRS, Employment tax due dates.

Payroll in Florida

No state income tax
Florida has no state personal income tax, so there is no state income tax to withhold from paychecks.
Reemployment tax
Florida employers pay reemployment tax and report wages each calendar quarter. Only the first $7,000 of each employee’s wages in a year is taxable.

7 questions

Which payroll filings are there?

Most employers file Form 941 every quarter, Form 940 once a year for federal unemployment tax, and W-2s for their employees with Form W-3 each January.

When are W-2s due?

January 31, both to employees and to the Social Security Administration. When that date falls on a weekend or legal holiday, it moves to the next business day.

Am I a monthly or semiweekly depositor?

It depends on the employment taxes you reported during a lookback period. Monthly depositors deposit by the 15th of the next month. Semiweekly depositors deposit within days of each payday. We confirm your schedule when we set up payroll.

Does Florida have state income tax withholding?

No. Florida has no state personal income tax. Florida employers do pay reemployment tax and report wages each quarter.

Employee or independent contractor?

It depends on the working relationship, including how much control you have over the work. Employees are paid through payroll and get a W-2; contractors may get a 1099-NEC. Bring your questions to your appointment.

Do you run payroll on a set schedule?

Yes. Regular payroll runs are part of the service, on the pay schedule you choose.

How do I send my documents?

Bring them to your appointment, or use Intuit Link if you already have a portal invitation. If you’re new to Avivas, call us for the next steps. Please don’t send tax documents or employee information by email.
